Attendance & Cancellation Policies
Attendance
To ensure the effectiveness of our treatment plan and achieve the best possible outcomes, we require a minimum of 50% attendance at all scheduled therapy sessions per month. Our therapists schedule appointments in advance. Consistent participation is essential for progress toward therapy goals and maintaining continuity of care.
Please note that when a scheduled therapy session is missed without prior notice, our therapists are not compensated for that time. Additionally, these missed appointments represent time that could have been allocated to other clients who need care. Rescheduled sessions will not count against the attendance policy.
Consistency is key to the success of occupational and speech therapy. Your child's scheduled session time is reserved exclusively for them, and our therapists plan their activities in advance. To ensure the best outcomes for all our clients, we strictly adhere to the following policies:
Late Arrivals
If you arrive more than 15 minutes late for a 45-minute or hour-long session, or 7 minutes late to a 30-minute session, your appointment will be canceled and considered a Late Cancellation.
If you are in the window before the 7-minute mark or 15-minute mark, your session may be shortened due to the therapist having other sessions.
Due to the strict insurance billing guidelines, we cannot conduct sessions that are less than a certain number of minutes/units.
Cancellations and No Shows
We require a minimum of 24 hours' notice for any cancellation.
A Late Cancellation (less than 24 hours' notice) or a No-Show (missing the appointment without any notice) will result in a fee of $50.00 billed directly to the parent/guardian. Please note: Insurance companies do not cover this fee.
Exception: We understand that children get sick! Please notify us via Klara or call us as soon as possible if your child wakes up with a fever or communicable illness. These will be considered excused cancellations if you have a doctor's note; however, consistent use of this exception may require a review of your child's schedule.
If your child is seen at an ABA center, you must notify us of any schedule changes or cancellations. ABA centers are not responsible for communication with outside services. A late cancellation fee will be applied if we are not notified of a cancellation by you.
Rescheduling Appointments
If you need to reschedule your child’s therapy session, you may do so by contacting us through the Klara app or by calling our clinic directly. Please note that rescheduling is subject to therapist availability, and we will do our best to accommodate your request. In the event that your child’s regular therapist is unavailable, we may be able to arrange for a substitute therapist depending on scheduling and availability. We appreciate your flexibility and understanding as we work to provide consistent and effective care.
